13 out of 16 Members have voted in favour of the £100 payback and then charging annually upfront £10 x Number of Months. No refunds. 

There were no questions or comments raised that need to be brought up and discussed.

We previously passed the motion to pay running costs upfront on a yearly bases. This raised a few questions around members ability to attend due to personal circumstances and what would happen to the money.

As many would agree the subject around money, becomes complicated and the last thing we want amongst us is to have petty arguments around this. 

All members have  not been part of the club the same duration, yet we all put in the same amount when we joined.  As a club we have always stressed the point up the club was not to make profit. It was solely to have a get together once a month and have some fun and meet some new faces.

As years have gone by, the club has generated a slight profit. This profit is variable as its used for purchasing club equipment and offset any monthly events where we fall short on money collection.

As time has gone on, our circumstances have changed and some members are possibly unable to commit due to many reasons which will not be mentioned here, as that is not important. What is important is the question that gets asked, “What happens to the money I initially put in when I became a member, do I get that back if I leave?”

The best way we can fix all this is to reset the Koroga Club books. How will this be done? 

Proposal:
  1. Each member is paid back £100 in April 2022 prior to April 29th 2022 Event.
  2. Each member then decides if they want to still remain a member for the remaining months of 2022 (April – Dec = 9 Months) or leave
  3. Those who decide to leave, will still be allowed to come as guests and pay £25 ( No more than 4 times in a year, after which you should be a member.  ). This will be applied from April 2022.
  4. Those who decide to remain as members for the period of 2022. Pay a upfront cost of £10 x 9 Months (April – Dec) = £90. And then pay £15 each time they attend Koroga Event. This will be applied from April 2022
  5. This upfront cost will be taken as commitment cost and is not refundable. Any new members post April 2022 are only charged £10 x remaining months in year.
  6. Each member then renew their commitment each year, starting from Jan 2023. 
  7. Any additional money left in balance accumulating more than the agreed running cost will be given to a chosen charity for that year
  8. On the event Koroga Club is required to shutdown all assets and balances will not be given to remaining members. This will all be given to a chosen charity.
 
The clubs fixed running cost for the year is a minimum of £1200. Therefore to cover events where we are short of members, attendances, unforeseen additional costs, the club should alway remain a balance of  50% of projected fixed running costs. This currently equates to £600.
 
Therefore taking the current balance of £2200 and subtracting £600 leaves a balance of £1600 to be paid back to all members. (£100 per member) 
 
This model allows members to fall out at the beginning of year and join again later depending on their circumstances.
This also removes the ambiguity around money to be refunded and the question of how long a member has served and profits

More importantly, the money collected is mainly to cover the fixed running costs of the club. i.e Hall Rental, equipment, cleaners etc..

Money collected also gives the club, more leverage on securing venues on a yearly contract.

If as a club we are no longer able to operate, then all assets and remaining profits, once all debts cleared, should be given to chosen charity and no member should profit from any proceedings. 

This seems to be the fairest approach, where there are no blurred lines and should keep everyone happy and no member is profiting. 

As members we all need a vote on this movement. Please place your vote.
